Bulk Power Adapter Orders: Approve the Pack-Out Before Shipment
Create a practical pack-out approval sheet linking adapter variants, included cords, labels and carton contents so receiving teams can identify the right shipment.
Give every delivered configuration a clear identity
A purchase order for an adapter model may still leave the delivered kit ambiguous. The same base model might be requested with different cable lengths, connectors, regional cord sets or packaging. Give each ordered combination a buyer SKU and connect it to a written configuration before approving shipment.
This guide proposes a purchasing workflow for importers, distributors and brands. It does not claim a particular Voltivo packaging service or traceability system is available. Ask the supplier to confirm which packing, identification and documentation requirements it can support.
Keep the supplier model, buyer SKU and approved specification revision in separate fields. If two variants share a base model, list them separately rather than relying on a warehouse operator to infer the difference from a product photograph.
State exactly what belongs in each pack
For every SKU, write a contents list: adapter quantity, included cable or cord, any agreed accessory, and the approved printed material. State whether the items arrive together as one kit or in separate cartons for later assembly. Mark buyer-supplied items explicitly so they do not appear as supplier shortages at receipt.
Use the AC cord-set specification guide or the USB-C cable bundle checklist to define the accessories themselves. This pack-out sheet should point to those accepted specifications instead of replacing them with a vague description such as standard cable.
Agree whether mixed-SKU cartons are allowed. If they are, specify how the contents will be identified. If they are not, write that restriction into the packing instruction and confirm it with the supplier before the order is released.
Build one approval sheet for purchasing and receiving
- Configuration
- Buyer SKU, supplier model, approved revision and distinguishing variant details.
- Unit contents
- Item names, part references and quantities per kit, including explicit exclusions.
- Packing arrangement
- Agreed unit and carton quantities, mixed-carton rules and handling requirements to be reviewed with the supplier.
- Identification
- Approved label artwork and the location of the buyer SKU, model and any agreed batch reference. Define a barcode format only if your receiving system requires one.
- Receiving evidence
- Packing-list fields, agreed photographs or samples, and the owner who approves the final pack-out.
Keep commercial carton labels separate from the electrical product label. Procurement artwork approval does not authorize changing safety markings or adding certification logos. Route any product-label change to the appropriate technical and compliance reviewers.
Review a packed sample as well as the product
Ask for a representative packed sample or an agreed set of pack-out photographs. Confirm that the visible identifiers match the approved configuration, the contents list is complete and the receiving team can distinguish variants without opening every pack. Photographs can support identification review; they do not establish transport performance.
If protection during transport is a project requirement, ask the responsible packaging or logistics specialist to define the evaluation. Agree the evidence and acceptance criteria with the supplier rather than inventing a universal carton specification.
Consider an illustrative distributor order with two cable lengths. A useful receiving test is whether the two SKUs can be distinguished from the agreed outer identification and reconciled to the packing list. This is a workflow example, not a Voltivo customer case.
Close discrepancies before authorizing shipment
Before shipment, reconcile the order quantities, SKU breakdown and packing list against the approved sheet. Record shortages, substitutions and packing changes as exceptions for review. Do not let an updated packing list silently replace the accepted product configuration.
At receipt, use the agreed inspection plan to compare identifiers, counts and contents. Preserve the relevant packing information when reporting a discrepancy so purchasing and the supplier can discuss the same shipment. Keep later changes tied to the sample approval and change-control record.
For a Voltivo Power quote, send your SKU breakdown, required accessories, preferred packing arrangement, labeling needs, destination and estimated quantities. Request confirmation of feasible packing options and any effect on price, sample preparation or lead time before placing the order.
